Attached is a permission form for ASRA to stream and record your session as well as lodge the recordings with the National Film & Sound Archive of Australia. Please read, complete, and return it via reply email. We will also have blank forms available onsite.

📍 Venue

We recommend using public transport. The venue is just a short walk from Central Station, which is serviced by trains, light rail, metro, and buses—including a direct connection from the airport.
To reach us from Central Station, follow signs for Exit 7 – Railway Square.
🚗 Please note: There is no complimentary parking available. Paid parking nearby is very limited.
💻 Presentation Setup
We will provide a Windows PC with PowerPoint installed and using Teams for online participants.
Please either:
· Send us your presentation in advance, or
· Bring it with you and upload it before your session.
To ensure smooth playback, we recommend embedding all media files directly into your PowerPoint. WebM and Stream-hosted (e.g. embedded YouTube) videos often fail to record so please avoid these.

💻 Presenting Remotely via Microsoft Teams
We’ll be using Microsoft Teams to host online sessions. You’ll receive a link to join your presentation day. This link is valid for the entire day, so you’re welcome to attend other sessions as an audience member. Whilst others are presenting, please keep your camera and microphone off.
✅ No Microsoft account or Teams app required – you can join directly via your browser.
✅ Recommended browsers: Chrome or Edge.
✅ Tip: Ensure your browser and system are up to date for best compatibility.
📊 Sharing PowerPoint with Embedded Audio/Video
If your presentation includes embedded media, please follow these best practices to ensure it plays correctly and is captured in the recording.
Recommended: PowerPoint via Teams Desktop App
Best Setup:
· Use the PowerPoint Desktop App
· Share via the Teams Desktop App
· Select “Screen” or “Window” and enable “Include Computer Sound”
Steps:
1. Open your PowerPoint and start the slideshow.
2. In Teams, click Share → choose Screen or Window.
3. Enable “Include Computer Sound” before sharing.
4. Play embedded media directly from your slides.
Why This Works:
· Preserves full audio fidelity.
· Avoids Teams’ internal media handling quirks.
· Ensures media is captured in recordings.
⚠️ Use PowerPoint Live (with Caution)
Limitations:
· Embedded audio/video may not play or be recorded.
· Audio may be compressed or dropped.
Steps:
1. In Teams, click Share → PowerPoint Live.
2. Upload or select your file.
3. Navigate slides via the Teams interface.
Known Issues:
· WebM and Stream-hosted (e.g. embedded youtube) videos often fail to record.
· Audio may be muted or skipped.
🔊 Critical: Disable Noise Suppression
To prevent Teams from filtering out your embedded audio:
Steps:
· Go to Teams Settings → Devices
· Under Noise Suppression, select Off
Why Disable It:
· Noise suppression uses AI to filter ambient sound.
· It may mute or distort audio, especially embedded audio and video recordings.
If you are unfamiliar with Teams and would like a test run, please reply and we’ll organise a session before the conference and work through any issues together.
